It is the essential function of the Tradeshows and Events Coordinator to coordinate SUBNET’s marketing event activities ensuring smooth planning and execution. This position assesses event goals and objectives, estimates facility, equipment, logistical, and other requirements, develops budgets, and negotiates and administers service contracts. The Tradeshows and Events Coordinator must be able to anticipate event needs, discern work priorities, and meet deadlines with little supervision, and be willing to travel and work extended hours occasionally. The Tradeshows and Events Coordinator should have a love for event planning and management, provide outstanding customer service, be an enthusiastic professional and be able to build relationships internally and externally.

Successful Tradeshows and Events Coordinators at SUBNET Solutions Inc. are organized, self-motivated, and have a passion for excellence. You will need to work well in a fast-paced environment, traverse various technologies, teams, databases and client types.

The Tradeshows and Events Coordinator will work in SUBNET’s Calgary office and report to the Marketing and Events Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Plan, implement, manage and follow-up for all SUBNET’s marketing events from large scale exhibitions, training tours and smaller tradeshows.
  • Create and manage events project timelines tracking and reporting weekly and monthly on key performance indicators, deadlines and deliverables to leadership to ensure timely execution of event preparations.
  • Serve as event project lead, responsibilities include but are not limited to coordination of industry tradeshows including production of tradeshow booths, event planning, employee registration, logistics, event contracts, budget and collateral as well as coordination of events set up, tear downs.
  • Develop, maintain and update event software, databases and shared documents, including facilitating meetings to ensure all team members have visibility into the planning process and status of events.
  • Coordinate event logistics and booth material shipping.
  • Contribute to publicity, including public relations, advertising and collateral material design, printing, production and distribution.
  • Development of social media campaigns: LinkedIn, Twitter, Facebook.
  • Responsible for the execution and management of approved events budgets.
  • Build relationships with vendors and service providers and act as primary contact for all events services and requests
  • Continue streamlining the process for which events are requested and prioritized.
  • Research of events, attendees, sponsors and competitors.
  • Analyze events for effectiveness, by providing results and ROI.

QUALIFICATIONS:

Required

  • Bachelor’s degree in business, marketing, communications, event management or related field .
  • 3-5 years tradeshow and logistics planning experience.
  • Extensive experience with Microsoft Office including Word, PowerPoint and Outlook.
  • Advance MS Excel skills including pivot tables, v-lookup etc.
  • Extremely detail oriented.
  • Proven organizational skills.
  • Proven problem-solving skills, trouble-shooting and strong work ethics.
  • Excellent written and verbal communication skills.
  • Self-motivated, confident and assertive.
  • Ability to take ownership of multiple projects at the same time.
  • Able to comply with physical demands of position such as:
    • Lifting boxes up to 40lb.
    • Long durations standing.
    • Walking, bending at waist, pushing, pulling.
  • Flexible work schedule as needed.
  • Must be able to travel as required.

Preferred:

  • Experience with SharePoint and Microsoft CRM.
  • Experience with Adobe Suite software such as Photoshop and Premiere Pro.
  • Bi-lingual in English and Spanish.
  • Driver’s license.
